Ways to Use Tapemaxs: This section includes: The benefits of Tapemaxs. Example uses of Tapemaxs. Quick Numbers, a way to enter numbers with one key. THE BENEFITS OF TAPEMAXS: Tapemaxs was designed by an accountant to meet the everyday need of balancing tape totals. The key benefits of the programs design are: 1. Will check tape balances more accurately than any adding machine. 2. Will find errors in totals quickly. Page: 5 TapeMaxs Copyright (c) 1991 Dale Dillon, Soft-Dil 3. Will print to any size paper on any printer. 4. The special feature called quick numbers reduces keystrokes of common repetitive numbers. Take the following examples of two tapes. Tape 1 Tape 2 The real numbers: 33.00 33.00 33.00 45.00 48.00 45.00 5.00 2.00 2.00 20.00 20.00 20.00 -------- ------- ------- 103.00 103.00 100.00 ======== ======= ======= Both tapes are in error. The second number in tape 2 is 48, it should be 45. The third number in tape 1 is 5, it should be 2. These errors offset each other, so the tape total looks correct. (Ever spend a few days trying to find a similar error? Our accountant has.) Tapemaxs stops this error. Use the ON-LINE checking feature in Tapemaxs to stop these errors. GETTING HELP IN TAPEMAXS: Press the F1 key or select the menu option of Help. HOW TO USE TAPEMAXS: (A short example.) The following example is a short lesson on how to use Tapemaxs. TAPEMAXS VERSUS YOUR ADDING MACHINE What does TAPEMAXS do for you? It finds your errors quickly and painlessly. 1. It replaces your adding machine and checks your tapes for errors. With adding machines you get a bunch of numbers and add them up. Then you take that same group of numbers and add them up again. If the two tape totals match you MIGHT have a good total. Tapemaxs checks your numbers for you automatically. And its more accurate than a regular adding machine. 2. It decreases the time you or your employees spend balancing tapes. It finds the errors for you. (You won't have to scan that adding machine tape line-by-line anymore.) 3. It allows you to print tapes on regular computer paper. (No more long strings of useless adding machine tape.) 4. With Tapemaxs you can print your tapes with headers and footers. Include the subtotal and total right up on top. (You won't have find the month or purpose of the tape scrawled sideways on the tape.) 5. It finds the errors for you automatically. (Tapemaxs is more accurate than adding machines. Tapemaxs matches numbers to numbers, with adding machines you match only totals to totals.) 6. You can save your work, and come back to it latter. (Try that on a regular adding machine.) Page: 10 TapeMaxs Copyright (c) 1991 Dale Dillon, Soft-Dil Registered users get support and Setup. Registered users get technical support and the Setup utility program. (Not necessary if you do not want to change printer fonts.) HINT: Use notes to store your printer codes. (So you won't have to look them up again.) PRINTER PORTS: Tapemaxs supports 3 printer ports; LPT1, LPT2, and LPT3. Consult your computer manuals about information on your printer ports. (Serial ports are not supported.) You can select the printer port you need to use by entering 1, 2, or 3. PAGE WIDTH AND LENGTH: Tapemaxs can print tapes in many formatted forms. You will need to arrange your width and length in accordance to your printer and paper size. Review your printer manual for details. (See below for common printer configurations.) COMMON PRINTER CONFIGURATIONS: We have included a few common printer page lengths and widths for your reference. ITS A GOOD IDEAL TO SAVE YOUR TAPES TO A FILE BEFORE YOU PRINT. This will reduce the chances of losing data. Page: 30 TapeMaxs Copyright (c) 1991 Dale Dillon, Soft-Dil Print Style: Page Length Page Width Compressed 66 137 Pica 66 80 Elite 66 96 USING PRINTER CODES: You can send printer codes directly to your printer. These codes can change the type of printing that your printer does. Consult your printer manual for the ASCII decimal value of the print codes you want to use. The printer code is sent before any printing is done. You can enter your print codes by entering the ASCII decimal value as numbers in the edit line. You will need to separate each number by a comma. You can send release codes to your printer by entering . Then enter the release code as an ASCII decimal value. EXAMPLE: If your printer prints compressed print by sending 27,05 and requires a release code of 27,18. Then you would enter: "27,0527,18" Consult your printer's manual for the correct ASCII values. A hexadecimal to decimal conversion chart is provided in Appendix A. Many printer manuals use hexadecimal notation for printer codes. USING NOTES: Two lines of notes are provided for your convenience. You can put your own personal notes in this space. We recommend you use notes for your printer codes. This will save you from looking them up each time you change print styles. Page: 31 TapeMaxs Copyright (c) 1991 Dale Dillon, Soft-Dil Printing Headers and Footers: (Examples of Headers and Footers can be found in Appendix D.) This section contains: Using headers and footers. How to use headers and footers. Special characters for printing. SUMMARY OF FORMATTING NUMBER CHARACTERS: Below is a short summary of formatting characters. If no characters are entered then numbers are not formatted. Character: Description: 0 Digit Placeholder. If the number has fewer digits on either side of the decimal point then zeros are shown. If more numbers exist to the right of the decimal then numbers are rounded to the number of zeros. # Digit Placeholder. Same as the zero above except zeros are not displayed. % Converts number to a percentage. , Thousands separator. Special rules apply but basic use is to set comma between two placeholders. E-E+e-e+ Scientific format. Enter digit placeholders to the right of this character. The number of placeholders to the right of this symbol determines the number of digits in the exponent. :-+$()Space Displays that literal character. \ Displays the next character. Use this for special characters that you want to display such as , % etc... "ABC" Displays the text in the quotes. Actual examples of different number formats are contained in Appendix D, Example D. SUMMARY OF FORMATTING DATE CHARACTERS: d Day, displayed as one or two digits. dd Day, as two digits, with leading zero. ddd Day, with three letter abbreviation. dddd Day, as a full name. m Month, displayed as one or two digits. mm Month, as two digits, with leading zero. mmm Month, with three letter abbreviation. mmmm Month, as a full name. yy Year as two characters. Use only yy or yyyy. yyyy Year as four characters. Use only yy or yyyy. /:-, Displays literal character. Page: 34 TapeMaxs Copyright (c) 1991 Dale Dillon, Soft-Dil Automatic Plus and Minus: This section contains: Explaining the automatic plus and minus. Using the automatic plus and minus. EXPLAINING THE AUTOMATIC PLUS AND MINUS: Tapemaxs has a special automatic feature. This feature allows you to automatically use a plus or minus for each number that you enter. When you first start entering a number a sign appears on the far left side of the tape display. You can assign this number sign a "+" or "-". USING THE AUTOMATIC PLUS AND MINUS: You can set the display by selecting either "Auto Plus" or "Auto Minus" from the "Options menu. At the number entry display when you press the enter key the sign (+ or -) is used with the number you just entered. You can change signs by pressing the "+" (plus) key or by pressing the "-" (minus) key. (Note: If you are using a color monitor, the color of the number on the display will not change with change of signs, until a number key or the enter key is pressed.) Checking the status of a tape: This section contains: How to check the status of a tape. Information provided by status. HOW TO CHECK THE STATUS OF A TAPE: You can check the status of a tape by selecting the "Status" option on the "Options" menu. INFORMATION PROVIDED BY STATUS: Page: 35 TapeMaxs Copyright (c) 1991 Dale Dillon, Soft-Dil Status provides the following information about each tape: 1. The number of numbers that each tape can hold. (This depends on the amount of memory your computer has.) The average tape size is 10,000 numbers. The largest possible size is 32,000 numbers per tape. 2. The number of numbers that each tape now has. (If you have entered only one number in a tape this number would be one.) 3. The remaining number of numbers that each tape can hold. This number is the difference between the number of numbers already entered in the tape and the maximum number the tape holds. Changing Color Schemes. This section contains: How to select a color scheme. Changing colors in the color scheme. HOW TO SELECT A COLOR SCHEME: You can change your color scheme with up to four separate options. A list of these choices are found on the "Options" menu. The options are: Color Scheme 1, Color Scheme 2, Color Scheme 3, and Monochrome. Select the color scheme that you find most pleasing. CHANGING COLORS IN THE COLOR SCHEME: You can change your color schemes in the setup program that comes with Tapemaxs. Setup will allow you to customize each color scheme to your own tastes. See the manual "Setup.Txt" for more information on how Setup can change the color schemes. Page: 36 TapeMaxs Copyright (c) 1991 Dale Dillon, Soft-Dil Fixing Decimal Positions: This section contains: How to fix your decimal point. How fix rounds your numbers. HOW TO FIX YOUR DECIMAL POINT: You can fix the decimal position for automatic entry. Select this option from "Fix Number" on the "Options" menu. You can fix each number up to four decimal positions. This decimal position will automatically enter as you type your number into the tape display. This option works like most calculators and adding machines. The window contains examples of each number in a different fixed position. Review them before you make your selection. Most positions are set on 2, for dollars and cents. HOW FIX ROUNDS YOUR NUMBERS: This feature also rounds all numbers to the number of fixed positions (display only). For instance, if you enter the number 123.456 and have the fixed position at 2 then the number is displayed as 123.46. The number is 123.456 and does not change in the tape, but only when displayed. The rounding occurs ONLY ON THE DISPLAYS. The FULL NUMBER is NOT CHANGED and is always available for editing. Use the F2 key to edit the number. The edit window will display the full number and include all decimals. Full numbers are displayed on the view option, and all error correction screens. This appendix contains the most commonly encountered error messages. Possible solutions are also listed, please remember that the solutions listed will not always solve the problem. If you need help and are a registered user, please write us. "Overflow, Please check your numbers." Error occurs when a number is too large. Solution: Reduce the size of the number being used. (Tapemaxs can handle numbers the about the same size as the national debt.) "Out of Memory" Error occurs when not enough RAM memory is available to run Tapemaxs. Solution: Take out unnecessary Terminate and Stay Resident programs (TSR). "Subscript out of range" Error occurs while trying to load a tape that is too big to fit in memory. Solution: Increase Tape size by increasing /M#### start up option, or removing TSR's from memory. "Division By Zero, Please check your numbers." Error occurs when printing. Solution: Check margins, page size, and page width. Make sure none are set at zero. "Device Timeout" Error occurs when saving files or printing. Solution check disks (drive doors etc.) and printer for malfunctions. "Device Fault" Error occurs when saving files or printing. Solution check disk drives and make sure printer is turned on. "Out Of Paper" Error occurs when printing. Solution: Add paper to printer. Page: 43 TapeMaxs Copyright (c) 1991 Dale Dillon, Soft-Dil "File NOT found" Error occurs when trying to load a tape file that does not exist. Solution: Check filename and path. "Disk Full" Error occurs when the disk drive you are saving or printing to is full. Solution: Use another disk or delete unnecessary files. "Bad filename" Error occurs when a bad path or file name is used to print or save files. Solution: Check file name and path. "Too many files" Error occurs when you open more files than DOS allows. Solution: Review your DOS documentation on increasing the number of files that can be used. (Set in Config.Sys file.) "Device unavailable" Error occurs when the device is busy or is unavailable. Solution: This complex error may need some technical assistance. "Permission denied" See your DOS documentation. Error involves file types. "Disk NOT ready" Error occurs when trying to print or save files. Solution: Check your disk drives for possible problems, such as disk drive door open etc. "Path/File access error" Error occurs when trying to print or save files to disk. Solution: Check file and path for correctness. Page: 44 TapeMaxs Copyright (c) 1991 Dale Dillon, Soft-Dil "Path NOT found" Error occurs when trying to save or print files to disk. Solution: Check the path name used to save or print the file. "Note: You need to enter numbers in one tape." Error occurs when using the ON-LINE checking feature. Solution: Make sure that at least one tape has numbers in it before selecting the ON-LINE option. "Note: Please make sure at least one tape is blank." Error occurs when using the ON-LINE checking feature. Solution: Make sure that at least one tape is blank. ON- LINE works by checking from the first number of the second tape entered. (You may want to erase the tape or use the COMPARE option instead of the ON-LINE feature.) "Note: Please change your current tape to tape 2." OR "Note: Please change your current tape to tape 1." Error occurs when using the ON-LINE checking feature. Solution: Select the menu item "Files" and choose "Switch" or press the shortcut key "F6." "ONLINE Please enter numbers in order." NOT an Error. You have successfully started ON-LINE checking. "If you have already installed TAPEMAXS move to the directory containing the file TAPEMAXS.CFG and restart this program. Additional help can be found in the manual." Error occurs when the configuration file for Tapemaxs is not found. Solution: Move to the directory containing the configuration file, Tapemaxs.cfg. You can create a new configuration file with the Setup program. (Setup is distributed with the registered version of Tapemaxs.) Page: 45 TapeMaxs Copyright (c) 1991 Dale Dillon, Soft-Dil APPENDIX C: COMMON QUESTIONS AND ANSWERS. HOW DOES TAPEMAXS WORK? Tapemaxs is based on the two tape principle. It matches the numbers in one tape to the numbers in the other tape. It finds numbers that do not match and alerts the user. I CAN'T SEE BOTH TAPES AND ONLY THREE NUMBERS OF THE TAPE I AM WORKING ON. WHERE CAN I SEE MORE? Tapemaxs has a special feature called View. View is located in the "Edit" menu selection. View will display both tapes. View will allow you to edit the tape or add numbers to the tape. We recommend that you use the display for making entries since it is faster. I FORGOT TO TURN THE ON-LINE FEATURE ON AND I HAVE ENTERED A BUNCH OF NUMBERS IN THE SECOND TAPE ALREADY. WHAT CAN I DO? Finish entering all the numbers in the second tape then select the "Compare" option in the "Check" menu. This feature will compare the two tapes and you won't have to start over. WHICH FORM OF CHECKING IS MORE ACCURATE? ON-LINE OR COMPARE? The ON-LINE feature is more accurate at checking balances and we recommend that you use it most. ON-LINE checking will catch the exact same inaccurate number entered at different locations in the tape. Please note that both methods of checking are much more accurate than any adding machine. The only error ON- LINE checking cannot catch is the exact same inaccurate number entered in the exact same location on both tapes.
